We are Meridian Tuition ("we," "us," or "our"), a provider of small-group tuition and 1:1 tutoring for students from Year 4 through A-level, based in Wimbledon and Putney.

We may collect the following categories of personal data: Contact Information: Name, email address, phone number and postal address for parents/guardians and students. Student Information: Date of birth, school year, current school, target schools, entrance exam target (e.g. SET, Tiffin, ISEB Common Pre-Test, London 11+ Consortium), exam board and subjects studied. Emergency Contact Details: Name and phone number of an emergency contact. Sensitive Information: SEN notes and other additional learning needs you choose to share with us, provided with your consent. Payment Information: Billing details processed securely by our payment provider for term fees, memberships and one-off purchases. Consent Records: Photo consent and progress report consent preferences.

3. How We Use Your Data

We use your data to provide and manage our tutoring services, process bookings for group sessions, 1:1 sessions, holiday intensive courses and mock exams, administer memberships and term packs, communicate about timetables, moves and reschedules, produce termly written progress reports, and respond to enquiries made via WhatsApp, phone or our contact form.

4. Legal Basis for Processing

We process your data under the following lawful bases: contractual necessity (to deliver booked tuition sessions, memberships and courses); legitimate interests (to run our waitlists, improve our teaching and communicate service updates); consent (for photo consent, progress report consent and any sensitive information such as SEN notes); and legal obligation (to meet our safeguarding, tax and record-keeping duties).

5. Data Sharing

We do not sell your personal data. We may share it with trusted third-party service providers who support our operations, including our payment processor, booking and scheduling platform, WhatsApp messaging provider, and DBS-checking services for our tutors. We only share what is necessary for them to provide their service to us.

6. International Transfers

If your data is transferred outside the UK/EU, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses, to protect your information to the same standard required under UK GDPR.

7. Data Retention

We keep your personal data only as long as necessary to fulfil the purposes described in this policy, including the ongoing tuition relationship, statutory record-keeping and safeguarding requirements. Where a student leaves Meridian Tuition, we retain records for a limited period in line with our data retention schedule before secure deletion.

Under UK GDPR and EU GDPR, you have the right to access the personal data we hold about you or your child, request correction of inaccurate data, request deletion where applicable, object to or restrict certain processing, and request a copy of your data in a portable format.
